Admin panel guide

Your workspace for orders, vehicles, people, and the day’s plan. Open the admin panel.

1. Sign in and choose a business

Create an account with your email, a password, your name, and business name. Follow the verification email before signing in. If a link has expired, request a fresh verification email and use the newest link. Use Forgot password if you cannot sign in.

After signing in, choose the business you want to manage. Each business has its own orders, drivers, vehicles, settings, and integration keys. Switching businesses changes your authorized workspace; it does not merge data. Administrators who also drive need a separate driver account.

2. Prepare your fleet

Create a warehouse with its coordinates, then a vehicle attached to that warehouse. Assign a driver and configure vehicle working hours before planning. A vehicle without a warehouse, driver, or working hours for the selected date is not eligible for that work.

Vehicle colors are saved and reused in the timeline and planned-order table. Change a color in the vehicle editor. Optional height and weight describe road restrictions; the chosen routing engine may warn if it cannot apply them.

Create driver accounts with an email address. Give each driver the generated activation code privately. The driver uses their email and code in the mobile app to set a password. Administrators can issue a password-reset code and deactivate access.

3. Working hours and overrides

Weekly hours repeat for each weekday. A date override controls that entire local calendar date, including the after-midnight portion of a shift that began the previous day. An unavailable date blocks all work that day.

Before applying hours that invalidate planned work, review the affected orders and confirm the change. Eligible orders become unplanned, and their booked capacity is released immediately. Replanning does not run automatically: choose Plan fleet when ready. In-progress orders need an explicit administrator resolution before being unscheduled.

4. Read the overview

Choose a day or range. The Orders table filters by the date the appointment window starts, in the business time zone. The timeline shows actual scheduled times, so an overnight order may appear on a later timeline date.

Street map loads a normal online basemap independently of downloaded routing data. Local map uses installed regional data, with a coastline fallback before roads are installed. Orders, routes, warehouses, and drivers have separate layer switches. Planned order pins show stop sequence; hover over a route to emphasize it above crossing routes.

Your selected business and page survive a refresh. Overview dates, view, tab, map layers, table sorting/grouping, search filters, and timeline zoom are remembered in this browser, separately for each business. Unsaved edits and confirmation dialogs are not restored.

Below the map, switch between Orders and Timeline. Hide or show the sidebar from the top bar when you need more space; your browser remembers the preference when storage is available.

5. Use the Orders table

Create order opens the order form. Enter a task or break, its location, work duration, and appointment window. Window start and end include both date and time; the whole task must fit for automatic planning. An order ID is generated unless supplied. Reusing an existing ID in the same business is rejected.

Click an order ID or Edit to update it. Each data-column header sorts in either direction. Same-day windows display only hours; hover for full bounds. The Stop column is the order’s position in its route, not its position after sorting.

Planned rows show an assignment color and the driver/vehicle. Amber Unplanned rows say Needs planning. Use Group orders by → Planned driver to see driver groups and counts; unplanned work stays in a separate group.

Custom fields are defined in settings and captured with each new order. Existing orders keep their original field definitions and driver permissions. Driver editing is off by default and can be enabled for a visible field.

6. Plan, review, then share

Open Plan fleet. Vehicles form rows and order dates form columns, with all options checked initially. Choose vehicles/dates, add an empty date if needed, and start planning. Availability cells describe working hours; they are not a guarantee an individual task will fit.

  • Schedule lock preserves existing scheduled times and relative stop order; new work may fit between them.
  • Assignment lock preserves existing vehicle/driver assignments.
  • Both locks default off. Planning includes unplanned work by default; include planned orders when you want to reconsider them.

Review the updated map, warnings, and timeline. Automatic planning does not create late appointments. Manual moves can retain a time-window or working-hour violation with visible warnings; review and acknowledge those warnings before publication. Planning failure leaves the previous usable plan intact.

Choose Send to drivers to publish reviewed changes. Drivers keep their last published version until then. An order that has started since the draft was made can block publication; resolve the conflict or replan. Publication receipt indicators show whether a driver app has received the published version, not whether the order has been completed.

7. Breaks, handovers, and completion

Breaks are route orders with a location, duration, and window. Prioritize them during planning; a break that cannot fit remains unplanned and needs attention. To hand over a vehicle, choose the replacement driver on a break. Handover occurs when the break finishes; an offline replacement must begin duty before their next order activates.

Driver execution statuses are Created, On road, In progress, Completed, Unable to complete, and Cancelled. Planned/unplanned is separate. Administrators can propose status changes, which require publication. Drivers cannot cancel orders; they report Unable to complete with a reason.

8. Delete and search history

Delete asks for confirmation and soft-deletes the record. Use the record-status filter and search to find deleted history. Deleted orders open read-only and cannot be edited or deleted again. Deletion does not erase still-published execution history.

9. Settings and integration access

Choose the business time zone, routing engine, optimization preferences, and evidence requirements. Photos and signatures are optional by default; when required, they must be uploaded before a driver completes an order. There is one shared evidence policy for order types.

In API keys, create a narrowly scoped integration key and save its secret when shown. Configure webhook URLs and subscribed events in the integrations area. Start a client integration.

Troubleshooting

What you see What to do
No road route or missing coverage Open Map regions, draw the operating area, save it, and approve installation. Wait for a Ready dataset. An online street map alone does not install routing data.
Driver still sees the old schedule Publish with Send to drivers, then check the receipt indicator.
Unplanned orders after hours changed Review the affected work and run planning yourself.
Cannot publish after driver started work Resolve the in-progress conflict; do not assume a newer draft overrules live execution.
A manual order is Late Review the original appointment window and the warning before publishing.
